Your website contact form isn't sending email. Here's why.

The form says “Thanks, we'll be in touch”, the customer waits, and the message never reaches you. It's one of the most common problems I find, and one of the costliest, because nothing tells you it's happening.

Why your contact form isn't sending email

These are the causes I find most often, roughly in order.

  1. The form sends through your web server's built-in mail. Many WordPress sites send form emails using the server's basic mail function. Gmail, Outlook and most business inboxes treat that mail as suspicious, so it gets dropped or sent to spam.
  2. Your domain has no SPF or DKIM record. These are two short records in your domain settings that tell inboxes which services are allowed to send email for you. Without them, a message from your own website looks forged.
  3. The “From” address is the visitor's email. Some forms send the message as if it came from the customer's address. Their email provider never authorized your website to send for them, so the message fails the checks and is rejected.
  4. The form sends to the wrong address. An old employee's inbox, a typo, or an address from before you changed email providers.
  5. A plugin update or spam filter broke the form. A security, caching or spam plugin can block the submission, or an expired reCAPTCHA key can make the button do nothing.   6. Your host limits outgoing mail. Some hosting companies restrict email sent from their servers, which can silently stop form messages.

Check your own form in 5 minutes

  1. Open your website on your phone, using mobile data rather than Wi-Fi, and send the form using an email address you don't normally use.
  2. Wait 10 minutes. Check your inbox and your spam or junk folder.
  3. If it's in spam, the email is being sent but not trusted: that's causes 1 to 3.
  4. If it never arrives, log in to your site and look for saved form entries. If the entry is saved but no email came, delivery is failing. If there's no entry at all, the form itself is broken: causes 4 and 5.

Most won't call to follow up; they'll assume you're busy or closed and go to the next business in their search results. Questions owners ask

Why does my form say “sent” when the email never arrives?

The form only knows it handed the message off. Whether it reaches you depends on what happens next: the server, your domain's email records and your inbox's spam checks. Any of those can quietly drop it.

Can I get back the messages that already went missing?

Sometimes. Some form tools, such as WPForms and Contact Form 7 with the Flamingo add-on, save a copy of every entry on the site. I check for saved entries before I change anything.

Do I need a new website to fix this?

No. This is almost always a settings and email delivery problem. I fix it on the site you have.

My form is on Wix or Squarespace. Can you still fix it?
